How we collect, use and look after your personal information, in plain English.

Who we are

iHelp Business Solutions is the controller of the personal data described in this policy. We are a small, founder-led business based in Portsmouth, Hampshire, run by Dan.

What information we collect

We only collect information you choose to give us, plus basic technical data needed to run the website.

  • Business Efficiency Check: the type of business you run, your answers to the assessment questions, and the scores and observations calculated from them.
  • Contact details from forms: your name, business name, email address and, if you provide them, your mobile number, postcode or area, preferred contact method, and whether you'd like Dan to contact you or are interested in a full Business Audit.
  • Direct contact: anything you send us by email, phone or WhatsApp.
  • Technical data: standard server logs (such as IP address and browser type) kept by our hosting provider for security and to keep the site running.

How we use your information

  • To calculate and show you your Efficiency Check results.
  • To contact you about your results, if you've asked us to, using your preferred method.
  • To reply to enquiries and, if you go ahead, to plan and deliver our services.
  • To keep internal records and improve how we work.
  • To keep the website secure and meet our legal obligations.

We do not sell your information and we do not add you to marketing mailing lists.

Our lawful bases

  • Legitimate interests: showing your results and responding to people who have shown an interest in our services, in a way you would reasonably expect.
  • Steps before a contract / contract: when you ask for a Business Audit, quotation or our services.
  • Consent: where you tick the box asking Dan to contact you. You can withdraw this at any time.
  • Legal obligation: for records we must keep, such as accounting records for customers.

How long we keep it

Efficiency Check results and enquiry details are kept only for as long as necessary for the purpose they were collected for — for example to show you your results, to contact you if you have asked us to, or to reply to your enquiry. We review this information periodically and delete anything we no longer need. Customer records are kept for as long as needed to provide our services and then for up to six years to meet accounting and legal requirements.

Who we share it with

We only share information where needed to run the website and provide our services, with providers who act on our instructions and must keep it secure:

  • website hosting providers;
  • our secure database provider, which stores Efficiency Check submissions;
  • email and messaging services we use to communicate with you (for example email and WhatsApp);
  • professional advisers such as accountants, where necessary.

Some providers may process data outside the UK. Where they do, we rely on appropriate safeguards recognised under UK law, such as adequacy regulations or approved contractual clauses. We may also disclose information if required by law.

Cookies

We don't use analytics, advertising or tracking cookies. The site only uses storage that is strictly necessary for it to work, so no cookie banner is needed.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct anything inaccurate or incomplete;
  • ask us to delete your information;
  • object to, or ask us to restrict, how we use it;
  • withdraw consent at any time where we rely on it;
  • ask for your information in a portable format, where applicable.

To make a request, email hello@ihelpbusiness.co.uk. We'll respond within one month and there is normally no charge. We may need to confirm your identity first.

Complaints

If you're unhappy with how we've handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

We may update this policy from time to time. The latest version will always be on this page.
